At Fly Vault Deals, operated by Fly Vault Travels LLC (Houston, Texas), we understand that plans change and we are here to support you with a transparent and fair cancellation process. This policy applies only to tickets booked directly through us, and all cancellations are handled as per the fare rules and refund conditions set by the airline and our consolidator partners.

General Guidelines

All flight cancellations, whether voluntary or involuntary, are subject to the original fare rules provided by the issuing airline and the fare consolidator at the time of booking. We do not determine or modify these rules. Our role is to interpret, apply, and process cancellations in strict accordance with those conditions.

Types of Cancellations

Voluntary Cancellation (By Passenger)

If permitted, your ticket may be eligible for:

  • A partial refund (minus airline penalties)
  • Future airline credit (non-refundable fares)
  • In rare cases, a full refund (with applicable fees)

Non-refundable fares generally do not offer cash refunds unless:

  • Airline issues a waiver
  • Cancellation occurs within U.S. DOT 24-hour window
  • Exceptional circumstances apply (e.g., medical/bereavement)

Non-Changeable / Non-Cancellable Fares

  • If your fare is designated as "non-cancellable," the ticket will have no refund or credit value after issuance
  • We will advise you at time of booking or cancellation request if your fare falls in this category

Involuntary Cancellation (By Airline)

If your flight is cancelled or significantly changed by the airline, you may be eligible for a:

  • Full refund, or
  • Free change, depending on the carrier’s policy

We assist in filing claims and securing your entitlement, with full documentation.

Consolidator Fare-Specific Rules

As a registered agency working under contracts with ARC and IATA-accredited consolidators, certain fares are subject to additional cancellation conditions imposed by the issuing consolidator. These may include:

  • Consolidator-specific service fees (non-refundable)
  • Refund request submission deadlines (e.g., within 1 year of issue)
  • Required documentation (e.g., ticket copy, passport ID)

We always disclose such terms before processing your cancellation.

Timeline for Refund Processing

Once your refund is approved by the airline or consolidator:

  • Airline processing time: 7–21 business days
  • Consolidator remittance (if applicable): 5–10 additional business days
  • Bank/card refund reflection: up to 10 days, depending on your financial institution

  • Agency service fees charged at the time of booking are non-refundable, unless otherwise specified in writing
